AI receptionist vs answering service vs voicemail: which one should answer your phone?
Every small business misses calls. The question is what happens to them. Here is what each option actually does with a caller, where each one falls short, and how to decide which fits your business.
If you run a trade, a clinic or a small office in Ottawa, the phone rings at the worst possible moments: on a ladder, with a client, on the highway, after hours. You have four realistic ways to handle the calls you cannot take yourself. They differ far more in what the caller experiences than in what they cost.
What each option does with a call
- Voicemail
- The call rings out and the caller is asked to leave a message. Most people calling a local business for help do not leave one. They hang up and call the next number in their search results, and you never find out who they were.
- A live answering service
- A call-centre operator, usually shared between many businesses, answers with your company name and takes a message from a script. The caller reaches a person, which is better than voicemail. But the operator does not know your business, usually cannot book the job, and you still have to call back while the caller may be talking to your competitor. These services are typically billed by the minute or by the call.
- A receptionist on staff
- The best experience when they are there: someone who knows your business, your prices and your schedule. It is also a salary, it covers one call at a time, and evenings, weekends, lunch breaks and sick days go back to voicemail.
- An AI receptionist
- A voice assistant that answers every call instantly, at any hour, speaks naturally, answers the questions you have approved, takes the caller’s details and can book the appointment straight into your calendar. It can handle several calls at once and transfer the ones that need you. You receive a summary of every call.
The difference that matters: a message or a booking
Most of the comparison comes down to one question: when the caller hangs up, do they have an appointment, or a promise that someone will call them back?
A message, whether it is on voicemail or written down by an answering service, keeps you in the race. The caller is free to keep phoning around, and many do. A booking ends the race. That is why an answering service that only takes messages is a smaller improvement over voicemail than it first appears, and why being able to book on the call changes the result.
Where an AI receptionist falls short
It is not the right answer to every call, and it is worth being honest about that.
- Unusual or complex questions it has not been set up for. The right setup does not guess; it takes the details and passes them on.
- Upset customers who want to speak to the owner. These should be transferred, and the rules for that are yours to set.
- Businesses where every call is a long consultation, such as some legal or medical practices, where a trained person adds more than speed.
For the common calls most local businesses get, such as “do you cover my area”, “when can you come” and “how do I book”, those limits rarely come up.
How to choose
Look at your own calls before deciding. Count the missed calls in a normal week, note what time they came in, and think about what those callers wanted.
- Few missed calls, mostly during the day
- Better call-forwarding and a fast callback habit may be enough.
- Missed calls while you work, plus evenings and weekends
- An AI receptionist usually fits best, because the calls need answering at hours no person is paid to cover, and they are mostly bookable.
- High call volume with long, complicated conversations
- A staff receptionist, possibly with an AI receptionist covering after hours and overflow.
